Timesheet Approval is an optional feature for companies that require timesheets to be approved by either a Team Manager or an Admin user.
When a Draft Pay is created, any unapproved time will not be included. However, there will be a warning shown in the pay.
Approved weeks will 'lock', and time for the week cannot be added, edited or deleted unless the week is first unapproved.
If there are multiple approvers for a particular employee, any of the approvers can approve or unapprove the week for that employee.
Setting Up Timesheet Approval
To turn on Timesheet Approval for your company, navigate to Manage > Settings > Payroll Settings. Tick the Timesheet Approvals option.
If you want to have Team Managers approving time, you'll also need to ensure you have a Team with a Manager set up. Find more information on how to do so here: Teams.
Timesheet Approval for Team Managers
Team Managers are only able to approve time for people in their Teams. Time can be approved from either the Manager Portal or the Mobile App.
Manager Portal
Time can be approved via the portal by navigating to the Time > Team Time tab and clicking an employee's name to access the employee's individual timesheet.
Click the options menu button, then select Approve Week.
A pop up will appear confirming the approval and the week will be locked.
Locked weeks will be indicated by a padlock symbol beside the employee's name, which you can hover over for more information about the approval. Any empty periods on the timesheets will also be greyed out and unable to be clicked into for adding or editing time.
Mobile App
Team Managers can also approve time for their team members through the Manager Mobile App by navigating to the Team Time tab. Employees can be selected by checking the tickbox by their name, and the Approve Time or Unapprove Time options are available in the menu at the top-right of the screen.
This will approve or unapprove all time entries for the selected employees for the current week. Approved time will have a green padlock icon.
Team Managers are not able to approve their own time - the approval options will not appear for them and their week will need to be approved by an Administrator or another Team Manager.
Timesheet Approval for Admins
Admins can approve time from the Time > Summary screen. Employees can be selected by clicking the tick-boxes by their names or select the tickbox at the top of the page to select/deselect all employees. Selecting Approve Week or Unapprove Week under the menu button in the top right will approve or unapprove the entire week for the selected employees.
Approvals can also be applied or removed from within each employee's individual Time tab, accessed by clicking into a particular employee from the Time Summary or Timesheets tab.
