PayHero's Employee Mobile App is a platform for employees to record their own time, submit leave or expense requests, track their leave balances and view previous payslips. An employee will first need to have been invited login access prior to using the mobile app and doing so is covered in our support article here: Inviting Employees to use PayHero Portal.
Mobile App as a Manager
If an employee has been designated as a Manager of a Team, in addition to the standard employee mobile app features, they will also have access to the following Team sections through mobile.payhero.app.
The Team tabs enable Managers to record & edit time entries for their Team Members as well as submit, approve or decline any leave/expense requests for any employees they manage.
Managers receive an email notification when requests are submitted by their Team Members which they're able to action directly via the mobile app.
Selected Team
At the top of the mobile app menu is the Team selector. This is used as a mobile app wide filter to restrict which employees (or Team) will display across the app.
If the employee is a Manager of multiple Teams, by default All Employees will initially be selected. This will display all employees across the Manager's multiple Teams in the app. Tapping on All Employees from the menu will take you to the Select Team page. Here the Manager will see a list of all Teams they manage.
Selecting a specific Team will filter the various management sections of the mobile app to only show those Team Members.
Team Time
The Team Time section shows the Manager their Team Member's time entries within the currently selected week. Switch between weeks using the arrows either side of the currently selected date range at the top.
Adding and Editing Employee Time
To record time for a chosen employee or to view more details around their time entries, select their name from the Team Time list.
If the employee is currently clocked in from either Shift or the Mobile App, the Manager can see the current clock details displayed at the top. All previously recorded time by the selected employee can also be viewed or edited from this screen.

Timesheet Approval
If your company has Timesheet Approval enabled, Team Managers will also be able to approve time for their team members. You can find more information on this here: Timesheet Approval
Team Clocks
The Team Clocks section of the mobile app enables Managers to clock their staff in and out as required. The Manager can also start and end breaks for their staff throughout the day.
Clock In - Clocks in the employee to begin their shift.
Pause Icon - Starts an unpaid break for the employee.
Stop Icon - Clocks out the selected employee.
Clock in Detail
To view more specific details on a clocked in employee, select their name from the Team Clock list.
Work - Tap on the Work drop-down list to select different Work for the time to be recorded against.
Location - If the employee or Manager has location tracking enabled on their device, the location in which they clocked in will display.
Duration - The overall duration the employee has been clocked in.
Start Break / Clock Out - Used for starting a break or clocking the employee out.
Notes - Add additional or remove any existing notes.
Team Clock Filters
Selecting the filter icon, shown in the top right, will give you several options for filtering the Team Clocks page.
Clocked In - Show or hide clocked in employees.
On Break - Show or hide employees who are currently on a break.
Clocked Out - Show or hide employees who are clocked out.
Team Expenses
To view Team Member expenses, first navigate to the Expenses > Team Expenses section. Here you can view all of your Team Members' expenses for the selected month. Switch between months using the arrows either side of the currently selected month at the top.
Approving or Declining Expenses
Tapping on a pending expense request will give the Manager the options for approving or declining as well as being able to edit the following details:
Work - Tap on the Work drop-down list to select different Work for the expense to be recorded against.
Receipt Image - Tapping on the receipt will expand the image so all details can be viewed.
Tap on the camera icon to upload a new receipt image or the X to remove the currently attached image.
Amount - The requested expense amount can be adjusted by the Manager as required.
Date - Select a new date for the requested expense.
Notes - Add additional or remove any existing notes.
Approve - Tap on the button to expand the button into Approve Expense. Tapping on Approve Expense will approve the expense to be included in the following pay run.
Decline - Tap on the red X to expand the button into Decline Expense. Tapping on Decline Expense will then mark the request as Declined.
Team Leave
To view Team Leave requests, navigate to the Leave > Team Leave section. Here you can view all of your Team Members' Leave for the selected month. The will be broken down by the various pending, approved and declined requests. Switch between different months using the arrows either side of the currently selected month at the top.
Approving or Declining Leave
Tap on a pending leave request to view or edit the request details as well as for approving or declining the leave.
Leave Type - Tap on the Leave Type drop-down list to select a different type of leave to be used for the request.
Start & End Dates - Tap on either field to select different dates as needed.
Notes - Add additional or remove any existing notes.
Request Information - This section will display details around how many days are covered by the leave request as well as the employee's leave balances. The detail displayed will change depending on the Leave Type chosen.

Approve - Tap on the button to expand the button into Approve Request. Tapping on Approve Request will approve the leave to be included in the pay period that the request falls within.
Decline - Tap on the red X to expand the button into Decline Request. Tapping on Decline Request will then mark the request as Declined.
The employee will receive an email alerting them that their leave was declined.
