Employees can record time, submit expenses, request leave, track their leave balances and view previous payslips using PayHero's mobile app.
The app is available through mobile.payhero.app.
To make the app easily accessible, see: Adding PayHero Apps to Your Homescreen.
Logging In & Out
You can log in using your employee login details. If you don't have an employee login, your payroll manager needs to invite you to create one.
Note that administrator logins for PayHero don't have access to the app. See the following article for how to invite your employees to set up their own user access: Inviting Employees to Use PayHero Portal.
Time
You can scroll through your complete history of all time entries and easily edit, delete or add new time entries. The Time tab may not be available for some employees, depending on your company's settings.
Add Time
Tap the button on the Time screen to record time. Select from Copy Last Weeks Time, Record Time or Start Clock.
Copy Last Week's Time - tap this to automatically copy last week's time entries.
Record Time - tap this option to make a time entry. Select the type of work and tap the arrow on the right to add the time details.
Ensure the date is correct, set the start time, end time, and break duration for any unpaid breaks (e.g. lunch). Add a note if required.
Tap the button on the right to save the time entry, then tap Save Time to confirm.
Start Clock - tap this to immediately start timing. Once timing has started, tap on the clock to set the work and if wanted, add a note to the recording time. Click the button to save the recorded time as a time entry.
Please note - The Start Clock option will only be available for employees who have been added to a team.
Start Clock - How Breaks are Applied.
Time entries recorded using the Mobile Start/Stop Clock will automatically use the Default Break set on the Work being used. For information on setting up default breaks, see our support article: Work.
The default break on work will not be used if an employee uses the built in break function through the Mobile Start/Stop Clock instead. Any breaks recorded through the Mobile app will override the default break saved on the work.
Expenses
The Expenses screen is where you can submit expenses you have incurred that your employer will reimburse you for. You can keep track of your historical expenses from the app. They will be sorted into pending, approved and declined expenses.
Pending - These submissions are awaiting approval by an administrator. You can edit a pending expense.
Approved - The approved requests will be processed in your next pay. You can't edit an expense once it has been approved.
Declined - The request will not be paid out.
Add Expense
To record an expense, tap on the options menu in the top left and go to the Expenses screen. Tap the button.
PayHero will open the camera screen. If you're submitting a receipt or other proof of purchase, take a photo then tap the button to confirm. If you aren't submitting a picture, just click Skip in the top right.
Select the work the expense relates to, enter the amount, select the appropriate date and add a description of the expense e.g. Fuel.
Tap the button and then tap Save Expense to submit it.
Leave
From the Leave screen you can manage your leave requests and view your leave balances.
Tap the information button in the top right to view an overview of your current leave balances.
Use the button to create a new leave request. Select the leave type and dates you want. The Request Information section will show your available balances for the leave type where relevant. Tap the
button, then Save Leave Request to submit.
To remove a request, tap on the calendar entry and use the bin button in the top right corner. You are only able to do this while the request is pending.
Once your request has been reviewed you'll be able to check the status of it by tapping on the calendar entry.
Declined requests will be automatically deleted.
Payslips
You can easily view your PayHero payslip history through the Payslip screen. Tap on the arrows up top to switch between different months.
Tapping into a specific payslip will provide a more detailed breakdown of the balances. You also have the option here to download the entire payslip directly to your phone.
