To add a new contractor to PayHero, select People > Employees. Click the button and select Contractor.
When initially setting up a contractor, any mandatory fields will have a red asterisk. You can’t progress through the contractor setup until these fields are filled. Other fields can be updated later if preferred.
Personal Details
Enter your contractor's first and last name, and the Display Name will default to their full name (you can change this by editing the Display Name directly). Complete the rest of their Personal Details section as desired.
If the contractor is employed through a company and withholding tax is being deducted from the company rather than the individual, set the first and last names of the employee to the company name. The Display Name can then be set to the name of the contractor.
Click Next in the top right to continue.
Employment Details
Enter your contractor's employment and pay details.
Start Date - The date the contractor began employment with you.
Workflow Template - If your company uses Workflows you can select any templates that the contractor should be prompted to complete when they first sign into PayHero.
Normal Rate - The hourly pay rate for the contractor.
Pay Cycle - Select the Pay Cycle the contractor will be included in, or select No Pay Cycle if the contractor isn't included in pay runs. You can add them to a pay cycle later if preferred.
Payslip Type - Choose the format of payslip the contractor should receive. Select Standard Payslip for a more 'remittance' style payslip, or Buyer Created Tax Invoice if the contractor is GST-registered and you wish to issue them with BCTIs. Learn more about the available types here: Payslip Types
Bank Account - The contractor's bank account that the balance of their pay will be paid to. The bank account is required for using PayHero's bank batch files to pay your employees.
Click Next in the right-hand corner to continue.
Tax
Enter your contractor's tax details.
Trading Name - If the contractor operates through a company, enter the Trading Name.
Tax Code - By default this should be WT.
Tax Rate - Enter the appropriate tax rate that should be declared to you with a IR330C form.
IRD Number - Enter the contractor's IRD number. PayHero requires this for your IRD filing. If the contractor is employed through a company and withholding tax is being deducted from the company rather than the individual, set this to the company's IRD number.
GST Registered - Check this box if the contractor is GST registered.
GST Number - Enter the contractor's GST number.
Click Save in the top right corner to create your new contractor.
