Clock Locations

With PayHero's Mobile App you're able to record the clock in and clock out locations of employees. These locations will be visible to the employee's Team Manager through the mobile app as well as to the payroll administrator through the Time sections of PayHero. Please note, this function does require the use of Teams and any employees using this feature will need to be in a team.

When an employee clocks in or out using the mobile app start/stop clock, PayHero will record the nearest street name using GPS location data. If you're using custom locations and the clock in/out occurs within 50 metres of the specified address, the custom location name will be shown instead.

Important to note - Functionality of the clock locations will depend on each individual device's privacy settings. If an employee has restricted location tracking through their mobile device or web browser, PayHero will not have access to record the location data and those details will not be available.

Payroll Administrator

When logged into PayHero.app, location details of any clock records will be available to view from both Time > Summary and Time > Timesheets.

Currently Clocked In

From the Time > Summary, currently clocked in employees will have a flashing red dot alongside their name with the time at which they clocked in. Hover your mouse over the location icon to quickly view the clock in location. 

From the Timesheets, currently clocked in employees will, again, have a flashing red dot as well as the time at which they clocked in and the clock in location. 

Previous Clock Entries

Time entries that were submitted via the mobile app start/stop clock will have a small clock icon on the entry. Clicking into one of these entries will allow you to view the location details if they're available.

Both the clock in and clock out locations of the time entry will be displayed at the top of the Edit Time pop-up window. This will also display the clock in and out times recorded through the start/stop clock function on the mobile app.

The Start/End Time shown in the main pop-up window can be different from the Clock In/Out times. This will happen if a manual adjustment has been made to the time entry after the employee clocked out.

Manager

Managers using the mobile app will also be able to view the location details of their Team Members' clock entries.

Custom Locations

If you have multiple work sites employees could being clocking in/out from, you're able to set up custom locations through Manage > Settings > Locations. If an employee clocks in/out within 50 meters of the specified address, the custom location name will be displayed through PayHero instead.

To create a new custom location, first click the  button in the bottom left.

Next fill out the two following required fields:

Location Name - The custom location name to be used e.g. Office.

Address - Enter the street address of your location and select it from the list.

Click Save in the top right to finalise.

After a custom location has been saved it can be managed from Manage > Settings > Locations.

Click into a selected location to edit the location name, address used or delete the location entirely.
