PayHero integrates with WorkflowMax, a project management system owned by Xero. A WorkflowMax integration allows you to sync your recorded time entries, ready for processing your next pay run in PayHero.
Integrating with WorkflowMax
Navigate to the Manage > Integrations tab. Here you can connect your PayHero account to WorkflowMax by clicking the Connect button. You will be prompted to log in through the same authentication process as you would for Xero and allow access.
Please note, the WorkflowMax integration requires a specific WorkflowMax login. This integration is not available via Xero Practice Manager login as this is separate to WorkflowMax itself.
The WorkflowMax company name you've connected to will be shown and you will now have the option to sync time with WorkflowMax.
Duration Based versus Start/End Times set in WorkflowMax
Start and End Times
Entering time into WorkflowMax with the Start/End Times specified is our recommended approach for those syncing time across to PayHero to avoid any possibility of overlapping time. With the Start/End Times set in WorkflowMax multiple time entries per employee, per day can be brought across to PayHero upon a Sync. This will also assist with more specific timesheet details being available for reporting on through PayHero.
For time being entered into WorkflowMax with only the 'Duration' specified a single time entry per employee, per calendar date will be brought across to PayHero upon a Sync. If multiple duration based hours are entered on a given day, only the first will be created in PayHero and any subsequent entries will result in an overlapping time error.
Preparing to Sync Time Entries
Prior to syncing with WorkflowMax, you will need to first ensure the following two fields between the two systems are an exact match.

- Display Name: Can be adjusted from the employee's Personal tab.
- Work Name: Can be edited through Manage > Work.
Syncing Time Entries
To synchronise your WorkflowMax time entries with PayHero, click the Sync button under Manage Integrations.
You will be prompted to select a date range of time to import. After selecting the required range, click Sync to finalise.
Upon a successful sync you will see a confirmation pop-up. The time entries from WorkflowMax will be available to view from the PayHero Timesheets.
